Air Con Services (UK) Limited is the controller responsible for the personal information described in this policy. We trade as Air Con Services UK Ltd and are registered in England and Wales under company number 07878319.

Our registered office is 37 Catch Yard Road, Silverstone, Towcester, Northamptonshire, England, NN12 8WG. Our operational contact address is Lakeside, Litchborough Road, Duncote, Towcester NN12 8AL.

Information we collect

Depending on how you interact with us, we may collect:

  • Enquiry details: your name, company, email address, telephone number and the information you enter in the website enquiry form.
  • Business and service details: business contact information, site or project details, quotation information and our communications with you.
  • Recruitment details: your CV, work history, qualifications and other information supplied when you enquire about or apply for a role.
  • Technical information: IP address, browser and device information, timestamps, requested pages, referral information and security or diagnostic logs.
  • Consent-based analytics: information about website visits and interactions, but only after you accept analytics through our cookie controls.

We normally receive this information directly from you, from someone acting for your organisation, or automatically from your device when you use the website. Please do not include unnecessary sensitive, confidential or special-category information in a general website enquiry.

How and why we use information

UK data protection law requires us to have a valid reason, known as a lawful basis, for each use of personal information. The bases expected for this website are set out below.

Where we rely on legitimate interests, we must consider whether our business need is proportionate and whether your rights override that interest. Where we rely on consent, you can withdraw it at any time without affecting earlier lawful processing.

Lawful bases need approval

The proposed lawful bases above must be checked against Air Con Services’ final operational, recruitment and record-keeping processes before publication.

Who we share information with

We do not sell personal information. We may share only what is reasonably necessary with service providers and recipients such as:

  • Web3Forms, which processes and relays website enquiry form submissions to us through its browser-side form service.
  • Cloudflare, which is intended to provide website hosting, content delivery and security services.
  • Our email, IT and business-system providers, where needed to receive, respond to and retain enquiries or service records.
  • Google, where Google Tag Manager and Google Analytics are activated after you consent to analytics.
  • Professional advisers, insurers, regulators, law-enforcement bodies or courts, where reasonably necessary or legally required.

Providers acting for us must handle information for the agreed purpose and in line with applicable data protection requirements. Some recipients may act as separate controllers for their own legal or operational purposes.

International transfers

Some technology providers may process information outside the United Kingdom. Where UK law requires a transfer safeguard, we intend to use an approved mechanism such as UK adequacy regulations, the UK International Data Transfer Agreement or the UK Addendum to standard contractual clauses, together with any required risk assessment.

Supplier transfer review required

The locations, roles and contractual safeguards for Web3Forms, Cloudflare, Google and the final email provider must be confirmed before production.

How long we keep information

We should keep personal information only for as long as it is needed for the purpose for which it was collected, including legal, accounting and dispute requirements. The following periods are proposals for business approval:

  • Unsuccessful sales enquiries: 24 months after the last meaningful contact.
  • Customer, quotation, project and service records: 6 years after the end of the relevant relationship or transaction.
  • Unsuccessful recruitment applications: 6 months after the recruitment decision, unless the applicant agrees to a longer talent-pool period.
  • Website security and diagnostic logs: ordinarily no more than 90 days, unless needed to investigate an incident.
  • Google Analytics user and event data: a proposed maximum of 14 months, subject to confirmation in the production Google Analytics property.

Information may be kept for longer where required by law, needed for a legal claim, or subject to an active investigation. It should then be deleted or anonymised when no longer required.

Retention periods are proposed, not approved

Air Con Services must confirm that these periods match its accounting, CRM, email, recruitment, insurance, warranty and service-record obligations before launch.

Your data protection rights

Depending on the circumstances, UK data protection law may give you rights to request:

  • access to your personal information and a copy of it;
  • correction of inaccurate or incomplete information;
  • deletion of your information;
  • restriction of how your information is used;
  • objection to processing based on legitimate interests;
  • transfer of information you provided in a portable format; and
  • withdrawal of consent at any time where processing relies on consent.

These rights are not absolute and exemptions may apply. We may need information to verify your identity and clarify your request. We will respond within the period required by law. You can change analytics consent at any time using the permanent “Cookie settings” control in the website footer.

Questions and complaints

Please send privacy questions, rights requests and data protection complaints to service@ac-services.co.uk. We will acknowledge a data protection complaint within 30 days and explain the outcome of our investigation when it is complete.

If you are dissatisfied with our response, you can complain to the UK Information Commissioner’s Office. Current guidance and contact options are available at ico.org.uk/make-a-complaint. We would appreciate the opportunity to address your concern first.

Changes to this policy

We may update this policy when our website, suppliers or legal obligations change. The date at the top will show when it was last revised. If a change materially affects how we use information, we will provide an appropriate additional notice.
